Teepee Queen Terms & Conditions
1. Booking Confirmation
A booking is only confirmed once the booking deposit has been received and you have been sent a written confirmation email from Teepee Queen.Until your booking has been confirmed in writing, availability for your requested date is not guaranteed.
2. Deposit and Payment
A $100 booking deposit is required at the time of booking to secure your date. The remaining balance must be paid in full at least 7 days before the event date. For bookings made within 7 days of the event, full payment is required at the time of booking. Bookings are not confirmed until the deposit or full payment, where applicable, has been received and written confirmation has been sent by Teepee Queen.
3. Security Bond
A refundable $100 security bond is required for all bookings. The security bond must be paid together with the remaining balance, at least 7 days before the event date. For bookings made within 7 days of the event, the full payment and refundable security bond are required at the time of booking. The security bond will be refunded after pack-down, once all hired equipment has been collected and checked. Any damaged, missing, stained or heavily soiled items may result in cleaning, repair or replacement costs being deducted from the security bond. If the cost exceeds the bond amount, the client may be charged the additional amount.
4. Delivery, Setup and Collection
Standard delivery, setup and collection are included within our specified Eastern Suburbs service area. Locations outside this zone may incur an additional delivery or travel fee, which will be confirmed before booking. Teepee Queen will arrange a specific time window for setup and pack-down before the event. The setup area must be clean, safe, accessible and cleared before our arrival. If the area is not suitable for setup, Teepee Queen may need to modify, delay or refuse the setup, and no refund will be provided where the issue is caused by the client, the property conditions or lack of suitable access.
5. Space Requirements
The client is responsible for ensuring there is enough clear indoor floor space for the teepee setup before our arrival. As a guide, each mattress is approximately 185cm x 76cm. Once styled with the teepee frame and accessories, we recommend allowing approximately 200cm x 105cm per teepee. These measurements are a guide only and may vary slightly depending on the theme, layout, room shape and styling pieces used. Clients are encouraged to send photos and/or measurements of the setup space before the event so Teepee Queen can help plan the best layout. Furniture should be moved and the setup area should be cleared before our arrival. If there is not enough suitable space available on the day, Teepee Queen will do its best to adjust the layout. However, the final setup may be modified and no refund will be provided due to insufficient space.
6. Usage and Equipment Care
To help keep everything clean, safe and in beautiful condition, all Teepee Queen equipment must be treated with care during the hire period. All equipment must be used indoors only unless otherwise agreed in writing by Teepee Queen. Food and drinks are not permitted on the beds, mattresses, bedding, rugs, trays or inside the teepees, with the exception of water. Makeup, nail polish, slime, paint, glitter, markers, face paint or any messy activities must be kept away from the teepees, bedding, mattresses, rugs and styling items. Pets must be kept away from the setup and all hired equipment during the hire period. Any damaged, missing, stained or heavily soiled items may result in cleaning, repair or replacement costs being deducted from the refundable security bond or charged separately if the cost exceeds the bond amount.
7. Responsibility and Supervision
The client is responsible for the care and supervision of all children during the hire period. Teepee Queen does not provide child supervision, childcare or party hosting services. Children must be supervised appropriately by a responsible adult at all times, and the setup must be used safely, respectfully and only as intended. The client is also responsible for the hired equipment during the hire period, including preventing damage, misuse, loss, stains or excessive mess.
8. Cancellations and Rescheduling
In the event of a cancellation by the client, the $100 booking deposit is forfeited. If you need to reschedule, Teepee Queen will do its best to accommodate a new date within 6 months, subject to availability, provided at least 14 days’ notice is given. Rescheduling requests made with less than 14 days’ notice may not be possible and may be treated as a cancellation. If Teepee Queen needs to cancel a booking due to illness, emergency, accident or circumstances outside our reasonable control, we will notify the client as soon as possible and offer either a reschedule where available or a refund of any payments made, excluding any non-refundable costs already incurred where applicable.
9. Service Safety and Right to Refuse
Teepee Queen reserves the right to refuse, cancel or modify a booking or setup if we reasonably believe the service cannot be provided safely, respectfully or appropriately. This may include, but is not limited to, situations where the setup area is unsafe, unsuitable, unclean, not cleared, too small, affected by pets, smoke, excessive mess or hazards, or where access to the property is not possible. Teepee Queen also reserves the right to refuse or stop service if our team experiences threatening, abusive, disrespectful or unsafe behaviour at any time. If we are unable to complete the setup due to circumstances caused by the client, the property, the setup area or the behaviour of any person on site, no refund will be provided.
10. Damage, Loss or Excessive Cleaning
The client is responsible for all hired equipment during the hire period. Any damaged, missing, stained or heavily soiled items may result in cleaning, repair or replacement costs being deducted from the refundable security bond. If the cost of cleaning, repair or replacement exceeds the security bond amount, the client may be charged the additional cost.
11. Liability
Teepee Queen is not responsible for injuries, accidents, allergic reactions, damage to personal belongings or damage to property that occurs during the hire period, except where required by law. By booking with Teepee Queen, the client agrees to take responsibility for the safety and behaviour of all guests and for the care of the hired equipment during the hire period.
The client is responsible for ensuring the setup is used safely and appropriately at all times.
12. Photography and Social Media
Teepee Queen may request permission to take or use photos of the setup for marketing, website or social media purposes. No photos of children will be shared publicly without permission from the parent or guardian. Clients are welcome to let Teepee Queen know if they do not want photos of their setup used for marketing purposes.
13. Agreement to Terms
By paying the booking deposit or confirming a booking with Teepee Queen, the client agrees to these Terms & Conditions.The client also agrees that they are responsible for sharing any relevant safety, supervision and equipment care information with other adults present during the hire period.
